Tips for clients exhibiting abroad
13 July 2012
So you have done your research and found an exhibition relevant to your industry, you have booked your stand space and found a company to design and build it for you. All the things to worry about have been handed over to your stand contractor until the show opens. However, there are a few things you must remember to do when exhibiting abroad, here are our top tips!
- Book accomodation for all your staff as far in advance as possible, when a show is on hotels fill up fast and prices can triple! Even if your event is small there may be other events in the area that will affect you.
- Book flights in advance and check baggage allowance if you are taking items for the exhibition.
- Passports- if you are travelling outside the EU you may need more than 6 months left on your passport, get copies from staff and check all dates are in order. You will also need passport numbers to book flights on behalf of others. Also check Visa's, E111 health cards and vaccinations if you are lucky enough to be going somewhere exotic!
- On-site services can be costly when they are not booked in plenty of time, most companies add a 20% surcharge for what they deem as late bookings. Make sure you book on stand internet connections and enough electric to run all of your AV- Your stand contractor should be able to do this for you, as long as you let them know you require it.
- Don't forget your plug adapter for the relevant country, you can now buy ones with all the different connections in one plug! Very handy. You don't want to be left without a phone or laptop because you can't plug it in to charge it.
- You may make leads and appointments at the show that you need to follow up immediately after the show so make sure your travel schedule allows for this.
